Part 1: The Essential Foundation (Approx. 60 minutes)
Understanding QuickBooks Online (QBO) - 10 Minutes
- QBO vs. QuickBooks Desktop (why QBO is better for modern small business).
- A quick tour of the dashboard and navigation (The Gear Icon, The Plus Icon).
Initial Company Setup - 20 Minutes
- Choosing the correct Chart of Accounts (what it is and why it's the backbone of your books).
- Setting up Products and Services (what you sell and how to track it).
- Customizing basic Invoice settings (adding logo, payment terms).
Connecting Your Finances - 30 Minutes
- Securely linking bank and credit card accounts (the Bank Feed).
- Understanding the three states of a transaction (In QBO, Review, Accepted).
- Do Not Reconcile Yet! (A common beginner mistake to avoid).
Part 2: Mastering Income & Expenses (Approx. 90 minutes)
Tracking Money Coming In (Sales Workflow) - 45 Minutes
- Creating and sending a professional Customer Invoice.
- Recording a Customer Payment (linking it to the invoice).
- The importance of the Undeposited Funds account (and making the bank deposit correctly).
- Using Sales Receipts for immediate sales (e.g., retail or service paid upfront).
Tracking Money Going Out (Expense Workflow) - 45 Minutes
- Categorizing transactions from the bank feed (the most frequent daily task).
- Creating Bank Rules to automate recurring expenses (e.g., rent, software subscriptions).
- Recording expenses paid via a credit card vs. a debit card/check.
- Using the QBO mobile app to capture and attach receipts.
Part 3: Basic Financial Check-Up (Approx. 30 minutes)
- Running the Key Reports
- How to access, run, and customize the Profit & Loss (P&L) Report.
- What the P&L tells you about your business's performance.
- How to access the Balance Sheet and what an entrepreneur should look for.
